Cannot Print Document with Microsoft Office

Problem Description:
Microsoft Office application may at times be unable to print a document. The problem may be limited to one of the Office Application programs (e.g. Word or Excel) or all the office Applications. You may get an error message when printing a file, or the printer simply does not respond and the document is stuck in the print queue, or the file prints gibberish.
Affected Products:
Microsoft Office 2013; Microsoft Office 2010; Microsoft Office 2007; Microsoft Office 2003
Cause of the Problem:
  • Document being printed is damaged
  • Printer device driver corrupted
  • Windows is infected with a Virus
Instructions for Fixing Microsoft Office Printing Problem :
Step 1 : Check if Problem with Document
  1. Before trying advanced steps like installing device drivers, check if the issue is with the document.
  2. Open the Office Application that is unable to print the document.
  3. Create a blank document with it – Word File or a Power Point file that is blank.
  4. Try printing this blank document. If you can the issue is with the document and not Office.
  5. If issue is not resolved, go to Step 2.
Step 2 : Check if Problem with Office
  1. Open another application such as Google Chrome or Windows Notepad.
  2. Try printing a webpage or a blank note page.
  3. If you can the issue is with Microsoft Office. Go to Step 4.
  4. If you cannot the issue has nothing to do with Microsoft Office, but the printing sub-system. Go to Step 3.
Step 3 : Check if Problem with Printer Hardware
  1. The problem maybe with the Printer Hardware or Cable connecting the printer.
  2. Most printers have the ability to print a test file from the front panel of the printer.
  3. Check your printer’s hardware manual to find the appropriate setting.
  4. Try printing a test page. If it can then the printer hardware is not the problem. Go to Step 4.
  5. If you cannot, the Printer Hardware is the problem not Office.
Step 4 : Check if Printer Device Driver is Problem
  1. Print using a generic printer device driver to see if the current Printer Device Driver is the culprit.
  2. For Windows 7: Click Start, and then click Devices and Printers. Click Add a printer.
  3. Click Add a local printer on the first screen of the Add Printer Wizard.
  4. Make sure that the Use an existing port check box is selected, change the dropdown option to File: (Print to file), and then click Next.
  5. In the Manufacturers list, click Generic, and then click Next. Leave the default printer name, click Next, and then click Finish.
  6. Try printing the document using this Generic Printer device driver.
